Receptionist

Rowberry Morris is seeking a Receptionist to join our team on a permanent basis at our Tadley office. This role is part of a two-person reception team, ensuring the front-of-house runs smoothly and efficiently. The ideal candidate will be friendly, professional, and highly organised, with strong administrative skills and previous experience in a busy office environment.

 

Key Responsibilities

 

Reception Duties:

  • Be responsible for manning reception to take calls, greet visitors and manage reception emails.
  • Maintain a tidy and professional front desk.
  • Greet clients and visitors, providing a welcoming and efficient service.
  • Assist Practice Manager and Office Partners with facilities management.

 

Switchboard & Client Communication:

  • Answer and direct incoming calls, taking clear and informative messages when needed.
  • Provide assistance to clients in person and over the phone, ensuring inquiries are handled professionally.

 

Appointments & Mail Handling:

  • Schedule appointments for lawyers and paralegals using the central office calendar.
  • Sort and distribute incoming mail and packages.
  • Assist with franking outgoing mail and making post office visits (training available).

 

Archiving & File Management:

  • Maintain and update the office archive spreadsheet.
  • Request files from storage, ensuring they are received and returned in a timely manner.
  • Work with the Practice Manager on archiving projects.

 

Administrative Support:

  • Assist other departments with file opening and additional administrative tasks as required.
  • Handle general office duties such as copying, filing, typing, and scanning documents.
  • Monitor office supplies and place orders when necessary.

Skills & Experience

Skills & Experience Required:

 

  • Proficiency in Windows-based IT systems.
  • Strong communication skills (phone, email, and written).
  • Excellent attention to detail and ability to prioritize workload.
  • A collaborative team player, comfortable interacting with colleagues at all levels.
  • Applicants must live within a 30-minute commute of Reading to be considered.
  • Salary dependent on experience.
